Paul Downs has been concentrating on conference tables for 23 years.  Before that, we made all kinds of furniture.  We can show you photos of thousands of individual tables.  There are several hundred tables on our website now, and those are a small set of our overall portfolio.  We have extensive experience with all kinds of commercial,l educational, government, religious, and non- profit clients.  We also make the other items found in a boardroom:  lecterns, credenzas, and side tables.  And we still have the capacity to make nearly anything from wood.  That deep reservoir of expertise makes us unique in the industry.

2. Design Capabilities  A good vendor should help refine your design — not just build what you sketch.
What to check:
  • Do they offer design consultation?
  • Can they create drawings or 3D renderings?
  • Are they open to collaborating on style, edge details, legs/support design, and finish?

Paul Downs knows that you have an idea of what you are looking for, but not necessarily a refined design in hand.  That’s why our process starts with a detailed design consultation with our experienced design engineers. They will discuss your particular needs and then produce 3D renderings and drawings to show you exactly what you will get.  We work in a wide range of styles, and love to incorporate our clients’ ideas into the finished product.  That means our work can look and feel far different from the ho-hum designs that dominate the furniture industry.  In particular, we are experts on including logos and branding in our tables.

3. Materials Knowledge:  Different materials affect look, durability, maintenance, and price.
Ask about:
  • Wood type (oak, walnut, maple, teak, etc.)
  • Solid wood vs. veneer
  • Sustainability / certifications
  • Finish options (matte, gloss, oil, lacquer)

40 years ago, Paul Downs worked only with solid woods, including all of the common furniture woods like cherry, oak, walnut, mahogany, and maple.   Since then we’ve expanded our capabilities to include exotic wood veneers, and a range of other materials including glass, metal, marble, quartz, Formica and other quality laminates.  We’ve also expanded our range of finishes, from the simple oil finishes that we started with to the catalyzed urethanes that we use today.  Our finishing options include different resin types,  custom staining, and a range of gloss levels.  As for sustainability, we prefer to use woods that come from well-managed forests.  Rest assured that we can use whatever material is actually the best solution for your situation, not just what our shop is set up for.

4. Construction Quality:  This is critical — especially for large tables that must stay flat and stable.
Key details to confirm:
  • Type of joinery used
  • Support structure for long spans
  • How they prevent warping/twisting
  • How they finish and protect the surface

  • Estimated timeline (design → build → delivery)

  • What happens if there’s a delay
  • Shop updates – can you send photos of your project being built?

Yes, custom takes time.  The ordinary backlog at Paul Downs is 12 to 14 weeks, but that can change depending on how fast orders arrive.  We keep our clients informed as to the backlog at all points in the pre-sale process, and provide a final delivery estimate when the order is placed.  If the client has a critical delivery date, we flag that job in our system. Our team reviews our entire list of projects every week to make sure that everyone understands which jobs are the priority.  Our project management team tracks each job through the various stages of production, and communicates any delays to the client if they arise.  We also photograph our projects in the pre-finish and post-finish inspections, so that there is ample documentation of the work.  Paul Downs understands that meeting projected delivery dates is extremely important.  We have designed our procedures to make sure that everyone gets their work when they expect it.

7. Delivery & Installation:  Especially for large tables, delivery and install can be tricky.  Check:
  • Do they deliver and assemble on site?
  • Do they bring tools and hardware?
  • How do they protect floors/doors?
  • Will they install power/tech components or coordinate with your installer?

Paul Downs does business all over the world.  That means shipping large and delicate objects thousands of miles and arranging assembly by local installers.  Our tables are designed to be exceptionally easy to assemble with ordinary tools.  Each table has been pre-assembled in our shop, twice.  We make sure that all of the parts required are included in our shipments.  We also include instruction sets for the particular table, not just generic suggestions for how it might work.  Our installation crews are experienced and take great care with our work.  Installation of power/data equipment is sometimes performed by our installers, sometimes by the A/V vendor.  Our project managers determine who is responsible for what, long before delivery, and make sure that everything in our scope is performed to the client’s satisfaction.  We take responsibility for the entire process, from the first phone call until the completion of delivery and installation.  No passing the buck.  No finger pointing.  If there’s a problem, we solve it.  Our pledge is to leave every customer delighted with our work.

8. Transparent Pricing:  Custom means variable cost, but reputable vendors should itemize.  Good pricing includes:
  • Materials cost
  • Labor / design time

  • Delivery & installation
  • Taxes and any fees
Ask for: A written quote with options.

Pricing custom work is tricky.  Paul Downs uses a detailed spreadsheet that accounts for the particular materials, finishes, hardware, and labor required to build each design.  When our clients ask for options we provide a quote for each one.  Our contracts include everything within our scope, include delivery, installation, and any applicable taxes.  We also clarify what costs and responsibilities are outside our scope.  We could not handle the quantity and variety of work we do without a solid procedure for developing fair prices.

9. Contracts & Warranty:  Protect your investment.  Ensure you have:
  • A written contract
  • Clear specs, materials, colors/finishes
  • Payment schedule
  • Warranty/guarantee on workmanship and finish

Yes, you will get a contract.  It will clearly specify what is to be built, what materials are to be used, when your work will be delivered, and the payment schedule.  Here’s our warranty:

Paul Downs Cabinetmakers guarantees its work to be free of defects in workmanship and material for a period of (5) years after work is delivered to the client.  Care instructions will provided to the client at the time of delivery.  Damage due to ordinary wear and tear, failure to follow use and care instructions, intentional abuse,  and extraordinary situations beyond control of PDC are not covered.  Unauthorized modifications or repairs are not covered.  Electronic components are covered by the manufacturer’s warranty.

Warranties don’t mean much if the issuer doesn’t actually care about whether they make a good product.  And these days, many products are specifically designed to fail shortly after the warranty expires.  We think that is terrible and take the opposite approach.  We build our work so that it will last, with reasonable care, forever.  Paul Downs has been building furniture for 40 years and almost all of it is still in service.  There’s even a secondary market for the pieces we made back in the 80s and 90s.  Furniture is one of those things that, if designed and built to the highest standards, will long outlast the original purchaser.  We take great care to use durable materials and build our pieces to last a very, very long time.

10. References & Reviews:  Hearing from real clients is invaluable.  Ask the vendor for:
  • References from past customers
  • Reviews or testimonials
  • Photos of finished tables in their spaces

Paul Downs takes great pride in the 5 star Google reviews we receive.  These are prominently featured on our website and are available if you search for us in Google maps.  (There are reviews on other platforms as well, but we request that clients use Google.)  Given that we have thousands of satisfied clients, we can usually provide a reference close to any prospective buyers.  As for photos:  stand back.  We have tens of thousands of shots of pieces in progress, and after installation.  Many of them are on our websites, but a much greater number are in our archives, ready for whenever they are relevant.
